WhatsApp AI agent: what it does, how to set one up, and what to check first
A practical guide for business owners: how these agents work, what they can handle, what they cannot, and a checklist for choosing one.

A WhatsApp AI agent is software that answers your customers’ WhatsApp messages, and sometimes calls, on behalf of your business. It understands ordinary sentences in several languages, looks up information in your systems, completes tasks such as booking or confirming an order, and hands the conversation to your team when it should. It works day and night, and replies in seconds.
Why WhatsApp
In much of the world, WhatsApp is where customers already are. They prefer to send a quick message over filling a form or waiting on hold, and they expect an answer soon. For many small businesses it is already the main inbox, handled from a personal phone between other jobs. Messages arrive in the evening, on weekends and during meetings, and the first business to answer often wins the booking or the order.
An agent does not remove the human side. It takes the repeated, time-sensitive part so the people on your team can focus on the cases that need them.
How a WhatsApp AI agent works
- Connection: your business WhatsApp number is linked to the agent through the official WhatsApp Business platform, so messages reach it and its replies come from your number.
- Understanding: a language model reads each message, including typos, voice notes and mixed languages, and works out what the person wants.
- Knowledge: the agent draws on information you provide, such as your services, prices, opening hours and policies, so it answers about your business and not in general terms.
- Tools: it connects to systems such as your calendar, order system or customer list to look things up and take actions.
- Rules and hand-over: you set what it may do alone and when a person takes over, for example for complaints, unusual requests or an angry tone.
What it can do
- Answer common questions about opening hours, services, delivery, pricing and policies.
- Book, move and cancel appointments against real availability, and send reminders.
- Confirm orders, collect missing details such as an address, and check order or delivery status.
- Qualify new enquiries: ask the right questions and pass a clean summary to sales.
- Reply in the customer’s language, and switch when they do.
- Collect documents or photos, for example a prescription request, a damaged item or an ID copy, and file them.
- Pass the conversation to a person, with the full history, when it is time.
What it should not do alone
Being honest about the limits is part of choosing well. A language model can be wrong, and WhatsApp is personal, so a mistake feels more direct than on a website form.
- Give medical, legal or financial advice. It can book the consultation, not replace it.
- Handle complaints, disputes or sensitive situations. These should go to a person quickly.
- Issue refunds, change prices or delete data without approval, unless you have defined precise limits.
- Make up an answer. A good agent says it is not sure and brings in a colleague.
Examples by type of business
- Clinic or dentist: books and reminds appointments, answers questions about preparation, sends reschedule options.
- Restaurant or bakery: takes reservations and pre-orders, confirms pickup times, answers menu and allergen questions from your own list.
- Online shop: checks order status, starts returns, answers delivery questions, confirms cash-on-delivery orders before shipping.
- Estate agent or car dealer: answers enquiries about listings, asks budget and timing, books viewings.
- Services company: collects job details and photos, proposes an inspection slot, tells the field team where to go.
- School or training centre: answers admission questions, collects documents, books open days.
How to set one up
- Choose the tasks. Start with the two or three requests that fill most of your inbox, such as bookings and order status.
- Gather your knowledge: prices, hours, policies, frequent questions, and the exact wording you want for sensitive topics.
- Prepare your WhatsApp Business number. You will need access to the number and a Meta business account. Your provider guides you through the verification.
- Connect your tools, for example a calendar or order system, so the agent can act and not only answer.
- Set the rules: what it does alone, what needs approval, and when it hands over.
- Test with your team on real past conversations, including awkward ones.
- Go live, listen in for the first weeks, correct what you see, then widen the scope.
With a ready-made product the first four steps can be quick. Dialaunch, our own WhatsApp agent, is designed to be live in about 15 minutes for businesses with standard needs. A custom setup takes longer but can reach deeper into your software.
WhatsApp rules worth knowing
WhatsApp sets its own rules for businesses, and a good provider keeps track of them for you. In general, when a customer writes first, you can answer freely for a limited window. If you want to start a conversation yourself, for example to send a reminder, WhatsApp usually requires a pre-approved message template, and customers must have agreed to hear from you. Messages may also carry small per-message fees charged by WhatsApp. Rules change over time, so ask your provider how they apply to your use case instead of relying on a guide, including this one.
What to check before choosing a provider
- Official access: does the provider use the official WhatsApp Business platform? Unofficial methods can get your number blocked.
- Real actions: can it book, confirm and look things up in your systems, or does it only chat? Ask for a demo with your own scenario.
- Human control: can your team see conversations live, take over with one click and hand back with history?
- Languages: does it work in the languages your customers actually write in, including regional ways of writing?
- Voice: if customers also call, is there one agent for calls and messages, or two separate products?
- Data: where is customer data processed and stored, for how long, and can you export or delete it? If you serve people in the EU, ask a qualified adviser what applies to you.
- Ownership: whose number, whose conversation history, and what happens if you leave?
- Trial and cost clarity: can you try it with real conversations before committing, and is the pricing understandable, including WhatsApp’s own message fees?
- Support: who fixes it when something changes in your business or in WhatsApp’s rules?
Ask every provider the same test question: "A customer writes in at 11 pm asking to move tomorrow’s appointment and to get an invoice. Show me what happens, step by step." The answer shows you whether you are looking at an agent or a chatbot.
Ready-made or custom?
A ready-made agent is the faster route when your needs are common: answering calls and messages, confirming orders, booking appointments, checking order status, and handing over to your team. Dialaunch covers this, answers in under a second, supports French, English, Spanish, German, Arabic and more, and offers a 14-day free trial with no card needed and 60 free AI minutes. It is one option among several, and the checklist above applies to it as to any other.
A custom build makes sense when the agent has to work with your own software, follow unusual rules or sit alongside other automations. In that case our AI agents service designs the agent around your processes. If you are still weighing the concepts, read AI agent vs chatbot first.
Frequently asked questions
What is a WhatsApp AI agent?
Software that replies to your customers on WhatsApp, understands their requests in natural language, performs tasks such as booking or order checks, and passes the conversation to your team when needed.
Is a WhatsApp AI agent the same as a WhatsApp chatbot?
Not quite. A chatbot usually follows scripted menus and replies. An AI agent understands free-form messages and can use your systems to act, for example to book an appointment or check an order.
Do I need the WhatsApp Business API?
To connect an agent properly you use the official WhatsApp Business platform, and your provider normally handles the technical side. Ask them how it works for your number before you sign up.
Can it answer in several languages?
Yes, modern agents handle many languages and can switch mid-conversation. Test it with real messages in the languages your customers use, including informal spelling.
How long does it take to get a WhatsApp AI agent running?
A ready-made product can be live in minutes to hours once your information and number are ready. A custom agent connected to your own software takes longer, with a first version typically in a few weeks.
